• Customer Responsibilities: Filters, clearances, utilities, HOA approvals, roof/snow access and safe pathways in winter.

Alaska-Specific Notes (Read Before You Sign)

Licensing/registration: HVAC scopes may require state contractor registration and, where applicable, mechanical/electrical/plumbing licensing depending on the work. Include your legal business name and any required numbers on proposals and the contract; some municipalities require separate registrations.

Permits & inspections are local: Mechanical/electrical/gas permits are issued by the city/borough AHJ (e.g., Anchorage, Fairbanks, Juneau, Wasilla, Kenai). Confirm permit needs, fees, plan review, and inspection timing before change-outs or new installs.

Energy/mechanical codes: Alaska doesn’t have a single statewide code regime for every jurisdiction—many municipalities adopt IBC/IMC/IECC variants and local amendments. If your scope triggers duct sealing/testing, ventilation balancing, controls/commissioning, or combustion air provisions, reflect responsibilities and testing fees in the agreement.

Cold climate details: Specify low-ambient set-points, crankcase heat, defrost strategy, and clearances in snow load zones. Use stands and snow guards where drifting occurs; add condensate freeze protection and protected routing.

Seismic & wind: In seismic/wind-exposed areas, call out anchorage, straps, and hardware as required by the local AHJ or engineer of record.

Cooling-off (in-home sales): For covered door-to-door/home solicitations, customers generally have a 3-business-day right to cancel. Attach the written notice when applicable.

Liens: Alaska recognizes mechanic’s lien rights with strict timelines. Keep clear payment terms and retain proof of notices/waivers as your workflow requires.

Flat-Rate Example

Flat-Rate Replacement: Contractor will replace the failed condenser fan motor on the 3-ton split system at 632 W 6th Ave, Anchorage, for a fixed price of $545 plus applicable taxes/permit fees. Includes travel within 20 miles and standard disposal.

Time & Materials Example

Labor: $140/hour (first hour billable in full, then 30-min increments).
Materials: Cost + 25% handling.
Trip Fee: $85 per on-site visit (may increase for remote/rural travel; quote in advance).

Deposits & Late Fees (Sample)

• Deposit: 30% on acceptance for projects over $3,000; balance due on completion.
• Late Fee: 1.5%/month (or the maximum allowed by law) on past-due balances over 15 days.

Maintenance Plan Addendum (Alaska)

• Coverage: 2 seasonal tune-ups/year per covered system (shoulder seasons recommended) and optional mid-winter heat-pump performance check.
• Tasks: Coil cleaning as needed; condensate freeze-protection checks; electrical tighten; refrigerant check; burner safety checks where applicable; rooftop safety protocols; HRV/ERV filter & core inspection.

Contractor is duly registered/licensed as required for the work described. Contractor’s legal name and Registration/License No. AK-MECH/EC-{{your_number}} appear on this agreement and related communications. Municipal registration numbers are listed where required.

Cold-Climate Operation & Anchorage

Equipment will include low-ambient/defrost controls and condensate freeze protection where required by site or code. Outdoor units will be elevated and anchored with corrosion-resistant hardware suitable for local snow, wind, and seismic conditions.

Change Orders

No change in scope, parts, or price is valid unless authorized by a written or electronic change order signed by both parties.

Cooling-Off (If Sold In-Home)

If this agreement was solicited and signed at Customer’s residence, Customer may have a three (3) business-day right to cancel. If applicable, a separate cancellation notice is attached explaining how to cancel and where to send notice.

Dispute Resolution & Venue

This agreement is governed by the laws of the State of Alaska. Venue for any action lies in the court serving the borough/census area where the project is located, unless the parties agree otherwise in writing.
