Change Order

A change order is a written agreement to modify the scope, price, or schedule after a contract is signed. Use it for hidden conditions, customer-requested extras, or code-driven corrections.


When to Use

  • Hidden conditions (rotted platform, asbestos, failed wiring).
  • Owner adds work (extra mini-split head, smart stats).
  • Code or manufacturer requirement discovered during install.

Best Practices

  • Describe the change, list parts/labor, and state the new price & timeline.
  • Get signed approval (e-sign is fine) before performing the work.
  • Keep a clear paper trail; number your change orders (CO-001, CO-002…).

Copy-Ready Clause

No change in scope, parts, or price is valid unless authorized by a written or electronic change order signed by both parties. Additional time, mobilization, permits, and inspections caused by the change are billable.

Can a text or email count?

Yes if it clearly states the change, price, and acceptance. E-sign is better.

What if it’s urgent?

Use a brief field authorization with photos, then issue the formal CO for records.
